Issue/Question

I am an employee with Western Kentucky University. How do I submit my vacation and/or sick time on TopNet?

  1. Log into TopNet.
  2. Click Employee Services.
  3. Click Leave Report.
  4. From the Leave Report Period and Status menu, select the desired pay period from the drop down box.
  5. Click Leave Report.
  6. Click Enter Hours for the appropriate sick or vacation row and date for which you want to enter time.  Example:  If you were out all day due to illness, enter 7.5 hours in the Sick row under the appropriate date column.
  7. The leave report will reappear with additional information.
  8. Enter your hours in the top area of the window in the gray box marked HOURS.
     Note: Enter the hours in the nearest quarter hour such as 4.25, 4.5, 4.75 or 5.0. The form will not recognize the number 0. If you need to put 0, delete all hours and Save with the Hours field blank.
  9. Click Save or Copy.
    • By clicking Save, the hours entered are saved for that date only.
    • By clicking Copy, you have the option of copying the same hours to other dates.
      • Check the box Copy from date displayed to end of the pay period if you want to copy the same hours from the date displayed for the rest of the pay period. Note: By clicking the check box beside Include Saturday or Include Sunday, those days will be included in the copy.
    • By clicking Copy, you have the option to click on each of the dates you want to copy to.
    • Click the Copy button to copy the hours to the leave report.
  10. Click Leave Report to return to the Leave Report Page.
  11. Repeat steps 6-9 for any other days off.
  12. To get to the other days in the pay period, click Next or Previous.
  13. To re-initialize the time sheet, which zeroes out all hours entered, click Restart.
  14. To see all time entered for the pay period, click Preview.
  15. To enter comments, click Comments.
  16. To submit the leave report for approval, click Submit for Approval.
     Note: Once submitted no further changes can be made to the leave report. If corrections or additions are needed, your supervisor will need to return the submission.
