How do I add another user or a Zoom Room as an Alternative Host to my Zoom meeting before the meeting begins? If my Zoom meeting has already started, how do I add a Co-Host instead?

Alternate Host Options
Adding another user as an Alternative Host allows them to schedule meetings and designates them to start the meeting if you are unable to. The Alternative Host will also need to be logged into a WKU-licensed Zoom account.
Adding a Zoom Room as an Alternative Host to your meeting eliminates the need for a Host ID and allows the room to automatically join your Zoom Meeting as a participant with alternative host rights. The meeting will appear on the touch panel under Upcoming Meetings and the host will have access to Breakout Rooms while using the Zoom Room touch panel.
- Sign in to the Zoom Workplace desktop client.
- Click Schedule.
- Depending on your Zoom Workplace client version, you may need to:
- Next to Zoom Meeting, choose Meeting Settings (Windows) or Settings (Mac) OR
- Scroll to Advanced dropdown section.
- Under Advanced, choose Allow participants to join anytime.
- In the Alternative Hosts field, type intended alternative host name.
- Users with WKU-Licensed accounts will populate. Click correct email address to add it to the field.
- Continue scheduling your meeting.
- Click Save to finish.
The user will receive an email notifying them that they've been added as an alternative host with a link to start the meeting.
Before scheduling a Zoom Room, please obtain permission from the department which oversees the room.
A Zoom Room has dedicated cameras, microphones, speakers, and a touch panel to control the meeting. In addition to the projector, there are two confidence monitors showing all Zoom participants, one for the presenter and one for the classroom.
- Sign in to the Zoom Workplace desktop client.
- Click Schedule.
- Depending on your Zoom Workplace client version, you may need to:
- Next to Zoom Meeting, choose Meeting Settings (Windows) or Settings (Mac) OR
- Scroll to Advanced dropdown section.
- Choose Allow participants to join anytime.
- Under Advanced, if needed, choose Automatically Record Meeting > In the Cloud.
Note: Do not record locally. Your recording will not be saved.
- In the Alternative Hosts field, type building abbreviation-room number. (i.e AC-107).
- The Zoom Room's email will auto populate with a long string of characters listed after the name. Click the email address to add it to the field.
- Continue scheduling your meeting.
- Click Save to finish.
On the day of your meeting, the meeting will show on the touch panel. It will automatically join at the meeting time, but can also be manually started.
Co-Host
Adding a user as Co-Host allows you to share hosting privileges with another user in a meeting or webinar. Co-hosts are assigned during a meeting and cannot start a meeting. If a host needs someone else to be able to start the meeting, they can assign an alternative host.
- Sign in to the Zoom Workplace desktop client.
- Begin the Zoom meeting.
- In the meeting controls toolbar, click the Participants icon
. The Participants panel will open on the right side of the meeting window.
- Hover over intended participant's name.
- Click More.
- Click Make Co-Host.
- Click Confirm to make this participant a co-host in the meeting.
