Printing Confidental Documents with a Ricoh MPS Device (macOS)

Issue/Question

How do I print a confidential document at a centrally located printer managed by Ricoh?

Cause

If you desire for the printer to hold a document until you are physically at the printer, to ensure no one else accesses the document, you can create a Locked Print job.

Resolution

  1. Open your document.
  2. Click File.
  3. Select Print... .
     Note: Certain applications, such as Google Chrome and Adobe Reader use a separate printer dialog menu that do not include settings for Locked Print jobs. To take advantage of this function, click the application's link to access the system dialog for the printer.
  4. Select the Ricoh printer.
  5. Locate the App Settings dropdown-menu.
    Note: Word labels the menu as Copies & Pages; Preview labels it as Preview.
  6. Change the dropdown menu to Job Log.
  7. Click the Job Type dropdown menu.
  8. Select Locked Print.
  9. Enter an User ID and Password of your own choosing.
  10. Click Print.

If you print confidential documents occasionally, you can create a preset to store your User ID and Password.

  1. Perform the steps above.
  2. Click the Presets dropdown menu.
  3. Select Save Current Settings as Preset... .
  4. Enter a recognizable name, such as Locked Print Preset.
  5. Click OK.
  6. Click the Presets dropdown menu.
  7. Select Show Presets... .
  8. Click to enable Reset Presets Menu to "Default Settings" After Printing.
  9. Click OK.

To Release Your Locked Print

  1. Access your centrally located printer.
  2. Tap the (Printer) button.
  3. Tap Print Jobs.
  4. Tap Locked Print.
  5. Select your document from the queue, identified by your User ID.
  6. Tap Print.
  7. Enter your password.
  8. Tap OK.
  9. Tap Yes.
