Archiving Email (Outlook for Windows)

Issue/Question

How do I archive email so it no longer uses quota on the mail server but can be accessed on a computer locally?

Environment

Resolution

If the content you want to archive is older than 12 months, you may need to disable Outlook's cache settings so it can archive all content stored in the folder desired to be archived. See this article for assistance.
  1. Click File.
  2. Click Open & Export.
  3. Click Import/Export.
  4. Select Export to a file.
  5. Click Next.
  6. Select Outlook Data File (.pst).
  7. Click Next.
  8. Select the folder you want to archive.
  9. If the folder has folders inside it, make sure that Include subfolders check box is selected.
  10. Click Browse to select where to save the Outlook Data File (.pst).
  11. Enter a file name, and click OK.
  12. Click Finish.
  13. Outlook begins the export immediately.
  14. Once it completes, you can open the Outlook Data File and verify all the content is there. See this article for assistance.
  15. Once the export is verified, you can delete the content stored on the server to free up quota.
