View or Download Form Submissions

How do I view or download submissions to a form?

Environment

Resolution

Only trained users with access to a sites Access Group applied to a form will be able to view the submitted data in the CMS. To share results with users who don't have access to the CMS they must be downloaded first.

After a form is launched and published to a page, all submissions are stored and accessible from the CMS.

View Form Submissions

  1. Click Content tab.
  2. Select Forms.
  3. Use Filter to locate your form in the list.
  4. Click Form Title.
  5. Click Submissions tab.
    Note: Every submission also has a More Actions menu with a View option allowing you to open an individual detail view making it easier to review long responses or locate file uploads. From here, you can also Delete individual submissions.
Each submission is linked to the specific version of the form that was active when it was submitted. If the form is later edited and relaunched, a new version is created. Previous submissions remain tied to earlier versions. This ensures you can interpret data accurately even if the form structure changes.

Download Form Submissions

  1. Locate your form and go to Submission tab.
  2. Click Export this Version as CSV.
    1. Submissions for that versions will be automatically downloaded to your computer.
    2. CSV files can be viewed as a spreadsheet using an application like Excel. See Installing Microsoft 365 article.
